- Booking & appointment data: name, phone number, email address, appointment history — collected via Fresha (our booking platform)
- Clinical data: health history, symptoms, medications, treatment notes — collected during consultations and stored securely in your patient file
- Contact form submissions: name, phone, email, and message content — submitted via our website contact form
- GP referral data: patient name, date of birth, referring practitioner details, and clinical notes — submitted via our secure referral form
- Email marketing: email address — only where you have explicitly opted in to receive our newsletter
3. How we use your data
- To provide acupuncture and TCM treatment services to you
- To manage your appointments and send booking confirmations and reminders
- To communicate with your GP or referring healthcare professional (only with your explicit consent)

4. Legal basis for processing
- Contract: processing necessary to provide treatment services you have booked
- Legitimate interests: responding to enquiries and managing our practice

- Legal obligation: retaining clinical records as required under Irish healthcare regulations
5. Clinical records
As a healthcare practitioner, we are required to retain clinical records for a minimum of 7 years (or until a child patient reaches the age of 25, whichever is later). Clinical records are stored securely and accessed only by Jose Rodriguez in the course of providing treatment.
6. Who we share data with
We do not sell, rent or trade your personal data. We may share data with:
- Fresha (booking platform) — subject to their own privacy policy at fresha.com/privacy
- Your GP or referring healthcare professional — only with your explicit written consent
- Legal or regulatory authorities — where required by law
7. Data retention
- Booking and appointment data: retained for 7 years after your last appointment
- Clinical notes: retained for 7 years (or as required by Irish healthcare regulations)
- Contact form enquiries: deleted after 12 months if no treatment relationship is established
- Email marketing lists: retained until you unsubscribe
8. Your rights under GDPR
Under the General Data Protection Regulation (GDPR) and the Data Protection Act 2018, you have the right to:
- Access the personal data we hold about you
- Rectify any inaccurate data we hold
- Erase your data (subject to our legal obligations to retain clinical records)
